Scope of this policy
This policy explains how GuestSignals collects, uses, stores and shares information when you visit our website, request a demonstration of our services, contact us, or take part in a survey program.
It covers three groups of people: restaurant clients and prospective clients; the people who take part in a survey program, including guests who sign up for a scheduled visit; and website visitors. Where we operate a program on behalf of a restaurant client, that client's own privacy notice also applies to their use of the results.

Information we collect
Client and prospect information: the name, company, email address, location count, restaurant formats and message content you submit through our demo or contact forms.
Participant information: the name, email address and city you provide, the scheduling details you choose when you request a slot (location, preferred date, time window and party size), and the survey responses, receipts, photographs and notes you submit after a visit.
Website information: standard technical data generated by your browser, such as IP address, device and browser type, pages requested and timestamps, together with any cookie or analytics identifiers described below.

How we use information
- To respond to demo requests and enquiries, and to prepare proposals and pricing.
- To operate programs: publish surveys, schedule participants, send confirmations and reminders, and receive responses.
- To score and review submissions, and to deliver reporting to the client that runs the program.
- To enforce one response per person per period and to keep duplicate-prevention records accurate.
- To maintain the security, integrity and availability of our website and services.
- To send service messages about an active program. We do not add clients or participants to unrelated marketing lists.

Why we are permitted to process it
We process the information above to take steps you have asked for (responding to a request or application), to perform a contract with you or your employer, to meet legal and tax obligations, and for our legitimate interest in running and improving a measurement business.
Where local law requires consent — for example for non-essential cookies or marketing messages — we ask for it separately and you can withdraw it at any time.

Participants and program data
A client location is never told who completed a survey, and reports are written without identifying the participant. Internally, we retain the link between a participant and a response so that submissions can be verified, queried and reviewed.
Responses, evidence and scores are shared with the client that runs the program, in a form that does not identify the participant. We never disclose a participant's identity to the location they surveyed.

Sharing and disclosure
We do not sell personal information, and we do not share program data with a client's competitors.
- With the restaurant client that runs the program, for the responses and scores produced under it.
- With service providers who host our infrastructure, process payments or support our email and reporting tools, under contract and only for those purposes.
- With professional advisers, or in connection with a merger or acquisition, where necessary and subject to confidentiality.
- Where required by law, court order or to protect the rights, property or safety of GuestSignals, our clients, our participants or the public.

How long we keep information
Demo requests and enquiries are retained for as long as needed to respond and to maintain a record of business correspondence. Program data is retained for the duration of the client relationship plus the archive period agreed in the client's contract. Participant scheduling records are kept while the program is active, so that duplicate responses can be detected across cycles.
When information is no longer needed, we delete or irreversibly anonymise it.

How we protect information
Access to program data is limited to named users on a client account and to the GuestSignals staff who need it for delivery, review or support. Data is transmitted over encrypted connections and stored in access-controlled systems.
No system is perfectly secure. If we become aware of a breach affecting your information, we will notify affected parties and any regulator as required by applicable law.

Your choices and rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to correct it, to delete it, to receive a portable copy, or to object to certain processing.
To exercise any of these rights, email hello@guestsignals.com with enough detail for us to identify you and your request. We respond within the timeframe required by applicable law, and we may ask for information to verify your identity before acting.

Cookies and analytics
Our website uses cookies and similar technologies that are necessary for the site to function, and may use analytics to understand which pages are read and how visitors arrive. Necessary cookies cannot be switched off without affecting site function; where non-essential cookies are used, they are subject to your consent.
You can control cookies through your browser settings. Blocking all cookies may affect the behaviour of parts of the site.

Age requirements
Our services are intended for businesses and for adults. Survey programs are open to participants aged 18 or older, and we do not knowingly collect information from anyone under 18. If you believe a minor has provided us with information, contact us and we will delete it.

Changes to this policy
We may update this policy as our services or the law change. The date at the top of this page shows when it was last revised. If a change materially affects how we use information you have already provided, we will tell you directly where we hold contact details for you.
