Set the program up yourself in the platform. You define what a great visit looks like at your locations — with operations, training and, where it exists, brand standards — choose which locations run first, and decide how often you want responses.
What you get
Locations, formats and dayparts in scope
Program goals tied to the metrics you already report
Critical items that fail a survey outright, if you have them
02
Build and weight the survey
Day 0–1
You turn your standards into scored questions with defined evidence and skip logic, starting from a template or from scratch. Every question tells the participant exactly what to observe and what to keep, and weights are published in advance so nobody argues about the math after the fact.
What you get
Weighted questionnaire mapped to your training material
Evidence rules per question: receipt, photo, timestamp, name
Skip logic so each format only asks what applies to it
A draft survey you approve before it goes live
03
Choose how responses arrive
Same day
This is the part most platforms get wrong. You decide who shops: an open survey link that anyone you share it with can complete, your own panel of managers and regulars, or a branded sign-up page where guests pick a date and a time window.
What you get
Open survey links and QR codes per location, daypart or campaign
Your own participant panel, managed inside the platform
Guest sign-up page with date, window and capacity limits
Confirmations, reminders and no-show handling automated
04
Responses come in
Any day
Questions capture the moments that matter, evidence is attached where your rules require it, and partial answers are saved if a survey is interrupted.
Itemised receipt and required photographs attached to the response
Device, location and time recorded with every submission
Progress saved, so a survey can be finished at the table
05
Review before it counts
As responses arrive
Every submission is scored on arrival and queued for review. Your team can review it, and hold it before it goes to the location, or set up a workflow. Anything that fails your evidence rules is queried, re-surveyed or excluded — it never silently lands in a manager's scorecard.
What you get
Evidence audit against your rules, before release
Duplicate and re-use detection across the program
Query and re-survey workflow with a full audit trail
Auto-release rules for programs that need no manual step
06
Read, coach, repeat
Continuous
Scores, narratives and coaching notes land in your dashboard, rolled up by location, region and brand. From there the cadence does the work: the next survey measures whether the fix held.
What you get
Location scorecards with dimension-level detail
Recognition notes and coaching points by role
Alerts when a location crosses a threshold you set
Trend view that shows movement since the last survey
07Quality control
A survey is only worth reading if it survives scrutiny
Three controls run on every response. They are the reason a GuestSignals scorecard can be handed to a general manager without a caveat attached.
Participant verification
One response per person per period, location-locked links, optional access codes and device checks. Whoever you put in the field, the platform knows when and where they responded.
Evidence discipline
Timings, receipt and required photographs are attached to the questions they answer. A claim without evidence is dropped from the score rather than argued about later.
Review workflow
Nothing is released until it passes your rules. Every decision is logged, so a challenged score can be traced back to the response it came from.
08From submission to scorecard
What happens after a participant taps submit
There is no batch process and no monthly report run. A response is scored the moment it arrives and reviewed on the rules you set.

09Program questions
The four questions we are asked before starting
How quickly can a program start?
As soon as you're done creating your first survey. The survey builder, the location list and the collection links all live in the platform, so there is nothing to schedule and nothing to wait for.
Do we need to recruit shoppers before we begin?
No. You can publish an open survey and start collecting immediately with people you already have. Scheduling is there for when you want specific visits on specific dates, and it can be switched on for one location or the whole estate.
Can we change the survey after launch?
Yes, and most clients do. Questions, weights, evidence rules and skip logic can be adjusted between cycles. Scorecards are labelled with the survey version, so trends stay honest across a change.
What happens if a response fails our evidence rules?
It is queried, re-surveyed or excluded before it can affect a score. Excluded responses stay in the audit trail, so you can always see what was removed and why.
